Partner enablement gives both organisations a reliable way to answer questions, make decisions and replace outdated messages. Start with a current guide, a briefing routine, a contact map and a process for offer changes. Give each an owner so partners know where to find an answer and how to correct it.

Keep one current reference

Build the partner guide around the questions that arise in customer conversations: who the offer suits, what it includes, which conditions apply and who can confirm an uncertain detail. Show the version date and a route for reporting errors. Separate verified claims from examples partners may adapt.

Check customer-facing wording and spoken explanations against verified offer details so partners have a consistent basis for discussing claims.

The ACCC accepts reports about possible misleading claims and can require businesses to back up claims about products or services.

Use briefings to settle open questions

Choose a meeting rhythm that fits the activity. Add a briefing when a material change cannot wait. Collect questions beforehand, invite someone able to resolve them and record each decision, owner and due date. Update the guide when an answer will be reused; otherwise, meeting notes can become a competing source of instructions.

Regular communication channels can include newsletters, webinars and partner meetings. Keep an action log linked from the guide, with a named owner and due date for each unresolved question; close the item when the answer has been added or partners have been told where to find it.

Maintain contacts by responsibility

For each partner, identify who handles routine marketing work, verifies offer details, approves material and receives urgent corrections. Record a backup and when the routes were last confirmed. After a team change, check the replacement, distribution lists and access to shared material before the next important update.

Where an organisation is subject to the Australian Privacy Principles and the map contains personal information, OAIC guidance on information quality and security addresses reasonable steps to keep information current when used and to protect information held. Keep the record limited to what the relationship needs.

For an APP entity, APP 10 treats collection and later use or disclosure as distinct quality checks. Information collected must be accurate, up-to-date and complete; when used or disclosed, it must also be accurate, up-to-date, complete and relevant, having regard to the purpose. Regular reviews may help keep records fit for use.

The reasonable steps required depend on factors such as information sensitivity, entity size, resources and business model. They also depend on possible adverse consequences and the practicality of steps, including time and cost. OAIC notes that expectations may differ for entities operating through franchises or dealerships, or providing contractors with database and network access.

APP 11 requires an APP entity holding personal information to take reasonable steps to protect it from misuse, interference, loss, and unauthorised access, modification or disclosure. When information is no longer needed for an APP-permitted purpose, reasonable steps to destroy or de-identify it are required, except where it is part of a Commonwealth record or must be retained under Australian law or a court or tribunal order.

Send changes through to completion

When an offer changes, give affected partners the verified old and new positions, effective date, required action and exception contact. Identify saved slides, live pages, scheduled messages and other material that may still carry the old claim. Ask the people responsible for those items to confirm what they changed. An acknowledgement alone does not show that a live claim was corrected.

Before a partner sends a marketing email or message, check the current ACMA guidance on avoiding spam. A current offer brief does not establish permission to contact a list.

Start with one active offer. Check whether a new contact can find its current answer, whether briefing decisions reach the guide and whether an offer change can be traced through affected material. Fix the part of the process where the answer is lost.
