Keeping partner contacts current after team changes
Maintain a role-based partner contact map and verify routes after staff changes so important updates reach the right people.
Maintain a partner contact map by responsibility and verify it whenever someone changes role. Ask who now receives routine updates, confirms offer details, approves material and handles urgent corrections. A general inbox can provide continuity, but each responsibility still needs an accountable person.
Record the routes people need
For each partner, record the organisation, responsibility, current contact route, backup, record owner and date last confirmed. Split the everyday marketing contact from the offer owner and escalation contact where different people hold those roles. Note which route is monitored for time-sensitive updates.
Do not copy an entire staff directory into the record. Limit access to people who need the map for the relationship, and review that access when roles change.

Verify after a team change
When a departure or role change is known, ask the partner to confirm the replacement, backup and start date. Check distribution lists, meeting invitations and access to the current guide. For a temporary arrangement, set a date to confirm it again. Forwarded mail does not establish authority to approve a claim.
Do the same when your own partner-facing team changes. Tell partners which route to use, and reassign open questions. A standing contact map identifies responsibilities; a campaign handover may also need a record of its commitments and decisions.
Check before the next important update
Confirm roles through an established business channel and record the response. If an urgent offer correction arises while the routine contact is uncertain, use the agreed escalation route and keep trying to verify the responsible owner.
Review the map during ordinary partner check-ins. Its value is whether the next message reaches someone able to act, not whether every field was filled in when the record was created.
