Replacing a campaign contact without losing decisions
Hand over current campaign decisions, versions, open commitments and approval authority when a partner contact changes.
When a campaign contact changes, give the named successor the current decisions, open work and approval routes. Confirm what the new person may decide. A forwarded inbox keeps messages moving but does not establish which asset version is approved or who may authorise a change.
Prepare the live handover
Start with the campaign record. Identify current assets and versions, release dates, open inputs, approvals already granted, conditions attached to them and decisions still waiting. Point to the original file or decision where the successor may need to check it.
Separate the handover into three groups:
- Settled:decision-maker, date, version and intended use are recorded.
- Open:an input or decision is due, with its owner and schedule effect.
- Needs checking:the scope of an earlier decision is unclear or the underlying offer facts may have changed.
A change of contact alone does not require every settled decision to be approved again. Ask the authorised owner to check a decision whose scope or factual basis is uncertain.
Confirm authority and access
Ask the partner to identify the routine contact, relevant approvers, backup and escalation route, and when each change takes effect. If the departing person coordinated work and approved material, those responsibilities may now sit with different people. Confirm authority through an established business channel before relying on a new sign-off.
Give the successor access to the material needed for the role and update access held by the departing contact. If the handover contains personal information and the organisation is an APP entity, the OAIC’s APP 11 guidance calls for reasonable security steps suited to the circumstances. A handover does not call for a full customer export.
Test one pending decision
Walk through a live item with the successor: show the current version, the question to decide, what the other partner confirmed and what happens if the decision moves. Check that the successor can find the supporting record and identify the next owner.
For a page awaiting a product description, the successor needs the disputed wording and the person who can verify it. The ACCC can require businesses to back up claims about their products or services. The new contact’s confidence does not replace verification by the relevant offer owner.
Keep the decision trail
Record who confirmed the new roles, the handover date, access changes and unresolved items. Keep older approvals attached to their original version and decision-maker; add later confirmation as a new entry.
Tell production and publishing owners which route to use. Check the first handover after the change and repair any missing record it exposes.
